Scholars Network for Research and Innovation (SNRI)

These Terms & Conditions govern participation in all SNRI-associated conferences, academic submissions, publications, and related engagements. All individuals and institutions interacting with SNRI services are required to read, understand, and accept the following provisions before proceeding with any form of registration or involvement.

1. Conference Participation & Registration Policies

1.1 Mandatory Registration

Only individuals who complete the full registration process, including payment of applicable fees, are permitted to attend or present at SNRI conferences. Participation without official registration is strictly disallowed.

1.2 Schedule, Format & Venue Modifications

SNRI reserves the right to revise event details, including the schedule, delivery format (on-site/virtual/hybrid), or venue, based on operational or external factors. All modifications will be communicated to registrants in a timely manner via official communication channels.

1.3 Responsibility for Communication

Participants are expected to frequently monitor their email inbox, especially the email used during registration, for updates or notifications from SNRI. The organization shall not be held accountable for missed communications resulting from inattention or outdated contact information.

1.4 Expected Professional Conduct

All attendees are required to maintain a standard of professional and respectful behavior throughout the duration of the event. Any form of misconduct, including verbal abuse, disruption of sessions, or harassment, will result in immediate disqualification and exclusion from current and future SNRI activities.

1.5 Identity Confirmation Requirements

At physical conference venues, participants may be required to present a valid government-issued identification document (such as a passport or national ID) for verification purposes.

1.6 Adherence to Session Timings

Conference sessions will begin strictly as scheduled. Participants, especially presenters, are advised to arrive or log in early. Late arrivals may not be accommodated for their designated presentation slots.

1.7 Use of Media for Institutional Documentation

Photographs, recordings, and media captured during SNRI events may be utilized for institutional reporting, academic promotion, or marketing. Registration implies consent to the use of such content by SNRI across digital and print platforms.

2. Submission of Papers & Presentation Standards

2.1 Requirement for Original Work

Submitted manuscripts must represent original research that has not been previously published or concurrently submitted to other conferences or journals.

2.2 Accurate and Transparent Authorship

All contributing authors must be listed with their full names, affiliations, and email addresses. Misrepresentation or omission of contributors is a breach of academic ethics.

2.3 Institutional Awareness & Approval

Authors must ensure that their affiliated institutions or supervisors are informed of their intention to present or publish with SNRI.

2.4 Peer Review & Acceptance Criteria

Each submission will undergo a structured peer review process conducted by subject experts. Only those papers that meet academic standards and are accompanied by a completed registration will be included in the official proceedings.

2.5 Changes to Authorship

Any revisions to the list of authors, including additions or removals, must be submitted in writing before the registration deadline and must include formal consent from all listed authors.

2.6 Anti-Plagiarism Protocol

SNRI maintains a strict zero-tolerance policy toward plagiarism. Submissions that fail plagiarism checks, either before or after publication, will be immediately disqualified and removed from conference records. Repeat offenses may lead to blacklisting.

2.7 Policy on Abstract-Only Presentations

Authors may choose to present based on abstract submissions alone; however, such works are not eligible for post-conference journal publication or indexing.

2.8 Designated Corresponding Author

The submitting author will be recognized as the primary point of contact and shall be responsible for all future correspondence and administrative matters related to the submission.

3. Journal Publication Procedures

3.1 Independent Review Process

Acceptance to the conference does not imply or guarantee acceptance into any journal. Each journal operates independently and maintains its own editorial review standards.

3.2 Publication Charges for Indexed Journals

Authors who wish to publish in journals indexed by platforms such as Scopus, Web of Science, or similar, must be aware that additional publication fees may apply. These charges are payable by the author and not included in the event registration fee.

3.3 Requirement for Manuscript Extension

For journal eligibility, the submitted work must be significantly enhanced (by a minimum of 20%) compared to the version presented at the conference. Enhancements should include deeper analysis, updated data, and expanded references.

3.4 No Refund for Journal Rejection

If a paper is declined by a partner journal, the author will not be eligible for any refund of registration or submission fees.

4. Cancellation, Refund & Registration Transfer Guidelines

4.1 Cancellations by SNRI

In the unlikely event of an SNRI-organized event being canceled due to unforeseen circumstances, participants will be issued a full credit that may be used toward another SNRI event within the following 12 months.

4.2 Cancellations by Participants

  • Requests made more than 60 days before the event: Full refund, minus an administrative fee.
  • Requests made 30 to 60 days before the event: 50% refund.
  • Requests made within 30 days of the event: No refund will be granted.
  • 4.3 Non-Refundable Virtual Registrations

    All registrations for virtual events are considered final and non-refundable, due to instant access to digital platforms and prior distribution of resources.

    4.4 No Refund Due to Visa Denial

    Once an official invitation letter has been issued, SNRI does not offer refunds, regardless of whether the visa is granted or denied.

    4.5 Travel & Accommodation Disclaimer

    Participants are solely responsible for arranging and managing their travel, accommodation, and related logistics. SNRI does not facilitate or cover any such arrangements.

    4.6 No Refund for Format Shifts

    Since this conference is hybrid format, the organizer reserves the right to conduct the event either in-person or virtually. Please note that no refunds will be issued due to changes in the event format.

    4.7 Transfer of Registration

    Registrations may be transferred to another individual from the same institution provided a formal request is made via email to support@snrischolars.com at least 7 days prior to the event. Transferred registrations are not eligible for refunds.

    5. Invitation Letters & Visa Support

    5.1 Purpose of the Invitation Letter

    Invitation letters issued by SNRI are strictly intended to support participation in conferences. They must not be used for purposes related to immigration, employment, or relocation.

    5.2 Issuance Criteria

    Invitation letters are only granted upon successful registration and payment, along with submission of required documents.

    5.3 SNRI Non-Engagement with Embassies

    SNRI does not intervene or communicate with embassies or visa officials on behalf of any participant.

    5.4 Misuse of Letters

    Alteration or unauthorized use of the invitation letter will lead to immediate cancellation of participation and may be subject to legal action.

    5.5 Attendee Responsibilities

    Participants are fully responsible for managing their visa applications, associated documentation, and related costs.

    6. General Administrative Provisions

    6.1 Submission of Registration Forms

    After payment, participants must submit their completed registration form within three working days to confirm their attendance and inclusion in the conference.

    6.2 Voluntary Nature of Transactions

    SNRI does not solicit or automatically process payments. All payments made are voluntary and initiated by the participant.

    6.3 Acknowledgment of Terms

    By registering or submitting content, participants confirm that they have read and accepted all SNRI Terms & Conditions.

    6.4 Governing Jurisdiction

    All legal concerns and disputes related to SNRI events or services shall be governed by the jurisdiction defined in SNRI’s operational legal framework.
